Resignation letters are tougher to write than they ought to be. You know that you are leaving. You just don’t want to seem impolite, ambiguous or melodramatic.
Below are 30 samples you can copy, from a one-line email to a full letter with notice. They cover personal reasons, health, a better job, a career change, immediate exits and notice buyout, plus email subject lines and what HR should do next. HR teams that also handle leave requests and approvals in one place can see how that works too. It’s for employees, HR managers and business owners in India. Replace the [brackets] and you’re done.
A resignation letter needs four things: the date, a clear line saying you’re resigning, your last working day, and a polite thanks. Four lines is plenty. Keep the reason short or skip it, and leave out complaints. A calm, short letter is easier to accept and easier to file.
Sample 1: four-line letter
|
[Date] |
Sample 2: one-line email
|
Subject: Resignation: [Your name] |
State your notice period, give the last working day, and offer a handover. Notice periods are set by your appointment letter or company policy, and 30, 60 or 90 days are common. Read yours first, since HR will work from that date. Some laws set rules for certain workers, so see our guide on notice period rules in India and the Ministry of Labour.
Sample 3: base letter (use this for the next two sections too)
|
[Date] |
Sample 4: two weeks. My last working day will be [Date], two weeks from today.
Sample 5: one month. As per my appointment letter, I'll serve a one-month notice, ending on [Date].
Sample 6: 90 days with a plan.I'll serve my 90-day notice ending on [Date]. I'll document my processes first, train [Name] next, and support the transition last.
Before you hit send, check three things:
For personal, health or family reasons, give the reason in one line and no detail. You don’t owe anyone your medical history or your family story. If HR needs a document, they’ll ask, and you decide what to share. Paste one of these lines into the base letter above.
Samples 7 to 13: reason lines
Here’s Sample 3 filled in, using line 7:
|
12 November 2026 To, Subject: Resignation from the post of Executive, Dispatch Dear Meera, Thank you for the opportunity. I'll complete my pending work and hand over to whoever you choose. Please share the exit formalities. Yours sincerely, |
When you’re leaving for a better job or a new field, keep it positive and brief. Thank your employer, say you’re moving on, and don’t name the new company unless you want to. Skip salary comparisons and criticism. You may need this manager as a reference one day.
Samples 14 to 19: reason lines
A short, warm closing line goes a long way here. Something like “I’ve learned a lot from working with you, and I hope we stay in touch” costs nothing, and it keeps the door open. Don’t overdo it, though. One line is enough.
You can ask to leave immediately or buy out your notice, but your employer doesn’t have to agree. It depends on your contract and company policy. Ask politely, offer a handover and get any agreement in writing. The employer may also recover notice pay as the contract allows.
Sample 20: immediate resignation
|
Dear [Manager's name], Due to [brief reason], I must resign as [Job title] with immediate effect. I regret the short notice and will share handover notes today. I'm willing to discuss any dues under my contract. Sincerely, |
Sample 21: early release request
I am resigning as [Job title]. My notice ends on [Date], but I'd be grateful to be released on [Earlier date]. I'll finish my handover before then.
Sample 22: notice buyout request
I am resigning as [Job title] and would like to request a notice buyout, with my last day on [Date]. I'm willing to pay notice pay for the remaining days as per my contract.
Sample 23: resignation during probation
I am resigning as [Job title] during my probation, effective [Date], as per the notice terms in my appointment letter.
Sample 24: shortening notice for a new job
I am resigning as [Job title]. My new employer needs me from [Date], so I'd like to request a shorter notice ending then. I'll prepare a full handover.
What happens after you ask? Usually one of three things. The employer agrees, sometimes after a few days. They agree to part of it, say a shorter notice instead of none. Or they say no and ask you to serve the full period. Be ready for any of them, and don’t tell your new employer a date until it’s confirmed in writing.
A good subject line says what the email is and who sent it, in a few words. Skip “urgent” and exclamation marks. Add your employee ID if your company gets a lot of mail.
Sample 25: short email
|
Subject: Resignation: [Your name] Dear [Manager's name], please find my resignation letter attached. My last working day will be [Date]. Thank you for the support. Regards, [Your name] |
Sample 26: email with handover
|
Subject: Resignation and handover plan: [Your name] I am resigning as [Job title], with my last day on [Date]. I'll document my work and train [Name] before I go. Please suggest a time to talk. |
Sample 27: email copying HR
|
To: [Manager's email] Cc: [HR email] Subject: Resignation from the post of [Job title] I am resigning, effective [Date], after my notice period. HR is copied for the formalities. Thank you for your guidance. |
Two small tips on sending. Use your work email, so there’s a clear record on the company’s side. And attach the signed letter as a PDF if your company asks for a formal copy.
HR should acknowledge the resignation in writing within a day or two, confirm the last working day and start the exit steps. Under Section 17(2) of the Code on Wages, 2019, wages payable to an employee who resigns must be paid within two working days. Other dues, like gratuity, may follow different rules.
Sample 28: acknowledgement
Dear [Employee name], we acknowledge your resignation dated [Date]. Your last working day will be [Date], as per your notice period. HR will share the exit checklist shortly. Thank you for your contribution.
Sample 29: agreeing to early release
We agree to release you on [Date]. Please complete your handover and return company assets before then. Your dues will be settled as per company policy and applicable law.
Sample 30: not agreeing to early release
Thank you for your request. Because of ongoing work, we can't release you before [Date], as set in your appointment letter. We're happy to review this again if things change.
One more point for HR. Keep your reply neutral, even if the resignation is a surprise. If you want to discuss a counter offer, do it in a separate conversation, not in the acknowledgement. A calm reply protects the record, and the relationship.
A note on the files: every sample has a free Word version, with no email form. Replace the [brackets], check your notice period, then send it by email or print and sign.
If you’d like to track attendance and leave in one place as your team grows, attendance.ai offers attendance and leave management for businesses. Whether you need it yet depends on your size, and a few saved documents may do for now.
An effective resignation letter should be brief, calm, and to-the-point. Mention that you are resigning, provide your last working date, express gratitude to your employer, and offer assistance during handing over duties. Find out your notice period before writing the letter, keep your reason for resignation limited to one sentence only, and make sure you write your resignation in writing.
HR departments need to respond promptly and state the last working date. Salary due upon resignation will be paid within two working days from the date of resignation according to Section 17(2) of the Code on Wages, 2019. Choose the suitable sample and replace [brackets].
Include the date, recipient's details, a clear statement of resignation, your last working day and a brief thank-you. A short, four-line letter is often sufficient. Sample 1 is ready to copy.
Follow the notice period specified in your appointment letter or company policy. Notice periods of 30, 60 and 90 days are common. If you are unsure, check your employment contract and confirm the requirement with HR.
You can submit an immediate resignation, but acceptance and notice-period obligations depend on your employment contract and applicable rules. Your employer may seek notice pay where permitted by the contract. Offer a proper handover and obtain any agreement in writing.
No, you generally do not need to provide a detailed explanation. A brief phrase such as “for personal reasons” is sufficient. You do not need to disclose private or medical details unless a specific requirement applies.
Section 17(2) of the Code on Wages, 2019 addresses the payment of wages payable following resignation, with a two-working-day deadline under the provision. Other dues, including gratuity, may be governed by separate requirements. Ask HR for a final settlement statement and confirm the applicable rules.
